The role focuses on maintaining accurate and up-to-date employee records, monitoring HR information systems for data integrity, and ensuring compliance with internal standards and policies. A strong emphasis is placed on quality control and process effectiveness to support informed decision-making and operational efficiency.What you’ll doYou’ll take ownership of work that gives us our competitive edge, including:General:End-to-end processing of employee lifecycle transactions in Workday, including appointments, changes, transfers, terminations, etcMaintain accurate, complete, and compliant employee data in Workday, aligned to internal controls, governance frameworks, and SOX requirementsAct as a first-line point of contact for HR Ops teams and data-related queries (within scope), escalating where appropriatePerform regular data audits, validations, and reconciliations to identify inaccuracies, duplication, and data gaps across HR systemsInvestigate root causes of data issues and work closely with HR Ops, HRIS, Payroll, Finance, and Compliance teams to resolve discrepanciesSupport system testing, validation, and post-implementation checks following Workday updates or process enhancementsPrepare audit evidence and support internal and external audits related to HR data and controlsRun standard and ad-hoc reports from Workday to support HR Operations, Payroll, and leadership decision-making, ensuring report accuracyIdentify recurring errors, data trends, and process weaknesses, and recommend continuous improvement initiatives focused on efficiency and risk reductionEnsure strong data hygiene practices to support compliance and controlled environments (e.g. SOX, payroll controls, audit cycles)Coordinate and maintain accurate data inputs across multiple stakeholders, including Payroll, Finance, HRIS, Employee Benefits, IT, Facilities, and other HR partnersCommunicate with employees to request, validate, and follow up on documentation related to HR processesSchedule and prepare exit documentation and support HRBPs ahead of exit interview meetingsCoordinate probation check-ins, reviews, and job change expectation sessionsPrepare confirmation letters and other standard HR documentation for current and former employeesPerform ad-hoc HR administration as required to support HR OperationsAd-hoc AdministrationThis list covers your core responsibilities – with plenty of room to stretch, explore and take on new challenges as we grow.What you’ll bringYou’re someone who brings:Relevant tertiary qualification in: Human Resources, Information Systems, Business Administration Data / Operations Management3-5 years’ experience in providing HR administration/Ops support3 - 5 years’ experience using HR Admin/Payroll systems: Workday, PaySpaceHR systems governance & integrations awareness: Understanding of HRIS governance principles, data flows, and integrations between Workday and downstream systems (e.g. Payroll, Finance, Benefits), with the ability to assess data impacts and risks.Knowledge and experience using all MS Office applications – Word, Excel, OutlookStrong verbal and written communication skills, with the ability to convey complex ideas clearly and effectivelyExperience working collaboratively in cross-functional and cross-location teams, with a focus on achieving shared goalsExpertise in managing multiple projects simultaneously, with a track record of delivering on time and within scopeExceptional attention to detail, ensuring high standards of quality in all outputsAbility to adapt quickly to changing environments and priorities, maintaining effectiveness in dynamic situationsDesirable skills you’ve got up your sleeveIt would be great if you also have some the following skills:Formal Workday training or certificationsExposure to HR reporting, audits, or compliance environmentsAdvanced Excel skills (e.g. pivot tables, lookups) for data validation and analysisConfidentiality is non-negotiable with high levels of integrityAbility to work efficiently and effectively across the business and HR DepartmentAbility to communicate effectively across all levels of the businessKnowledge of relevant labour legislation in relation to HR administration (BCEA, LRA & SDA)Ability to prioritize and plan your daily scheduleAbility to multi-task in a changing environmentAbility to work under pressure in a fast-paced environmentStrong commitment to providing exceptional serviceOur values are non-negotiablesOur culture is underpinned by core values that are linked to key behavioural competencies.
